Administrative Assistant (High School)
School Year Position
DEFINITION:
This position provides secretarial, clerical, record-keeping, organizational, and general support services within Woburn High School.
Required and Preferred Skills/Abilities:
- Maintain confidentiality at all times
- Exceptional attention to detail and organization
- Must be a self-starter
- Possess a high degree of independent initiative and ability to problem solve
- Ability to exercise good judgment, flexibility, and sensitivity in response to changing situations and needs
- Ability to prioritize multiple responsibilities, compartmentalize and manage them effectively
- Experience with TalentEd, Google Apps, Munis, Frontline and PowerSchool, preferred
- Excellent interpersonal and communication skills (verbal and written)
Duties include but are not limited to:
Student Attendance
- Enter daily attendance and update meeting attendance as needed in PowerSchool
- Send attendance letters for excessive absences
- Track attendance buyback
- Daily phone calls for student absences
- Coordinate with attendance officer to confirm student absences if parent is unreachable
Student Records / Data
- Update Student information if any changes...i.e. Address, phone number or email
- Print Students Schedules or Transcripts as needed
Clerical Support Students / FamiliesWork permit processing during the school year
- Full-time verification letters/type and hold for student pickup
- Drop letters per Admin
- Follow up on meeting/daily attendance with teachers and update as needed
- Set Up Restraining order and any other alerts in PowerSchool
- Communication with families
- Create student folders to keep track of Drs. Letters, Drop Letters, etc..
- Scholarship Support - Send letters to donors requesting scholarship applications
- Verify receipt of scholarships and deadlines
- Assist students with transcripts and letters of recommendation for scholarship applications
- Work with Guidance Administrative Assistant when new scholarships come in for upload into Naviance and assist with the collection of scholarship applications from students once completed
- Put together WMHS section of program for scholarship night
- Work closely with liaison for Dollars for Scholars
- YES community service hours for Grade 9 - Grade 12
- Send a list of Seniors to Guidance Admin Assistant with names of who earned enough YES hours (50) for an extra cord for graduation
Back Up Support
- Cover front desk as needed
- Substitute requests will be entered into Frontline for Daily absence
- Testing support: (Provide clerical support for MCAS)
- Issue out parking passes to staff
Salary Range: Set by the Collective Bargaining Agreement (CBA)
